Follow up to spam delivery issue.
Dear WinWorld hosting client,
This is a follow up to the email delivery issue that was broadcast earlier this week.
It was brought to our attention that legitimate emails from some websites (such as order confirmations or inquiry emails) were appearing as undelivered due to spam filtering. To read more about the original issue, visit our news section.
Investigation:
In brief, we found the cause of this to be automated spam that was being submitted through website's contact forms. The problem was not the content of these emails, but that some recipients were then marking these emails as spam. Since the email was coming from the web server and not the original sender, the master web server address got added to some spam block lists. The IP address of the server was used for this determination, not the content of the messages themselves.
We checked our server address on a number of spam lists and found that 2-3 services (out of almost 30) had listed our server as a suspect. In order to remedy this situation, we contacted these spam services and asked that our server address be removed. They have done so and we have confirmed that email delivery has improved.
We have been able to work with some clients to confirm that inquiry and order emails are now getting through.
Please note, we're not aware that any email delivery has failed, but rather that some emails have been filtered as spam. This only applies to those using the Google hosted email solution. If you use Exchange or another hosted email solution, you may not be affected.
IMPORTANT: If you have not done so and if you're unsure you've received all of your mail, please use our instructions below.
Resolution:
In order to ensure you are receiving all email, please take special care to check your "spam" folder.
This can be done using the following procedure:
- Visit http://webmail.yourwebsite.com/ (be sure to replace "yourwebsite.com" with your actual website address)
- Login with first part of your email address and your password. If you don't know your password, you can contact our support and we can reset it for you.
- Look for the "spam" folder on the left
- Review the messages and mark those that are not spam as "not spam." Once you mark enough email from your website as "not spam" it will remedy the situation and cause future email to be delivered normally.
